Current Community volunteers can find the resources they will need to support their volunteering.

Checking In and Out of Your Visit

For all visits regardless of the time of day

For all visits with your client please check in and out by sending a text to the CARDS phone 07715082428.

Text ‘In’ on arrival then ‘Out’ once you have left.

All text messages regarding check ins and outs, as well as confirmation of future visits should go to the CARDS phone number (regardless of the time of day). We will be aware of your visit; however, we will not be replying with a message in response to these texts.

Please communicate the details of your next visit via text and include:

  • Date
  • Time
  • Location

Example ‘Next visit Wednesday 15th 2pm at Costa Kirkgate’

You do not need to include you or your client’s name in these texts.

Concerns regarding your client & on call rota

Monday to Friday 9am-5pm

In the first instance please call the CARDS number 07715082428 for any concerns regarding your client and speak directly to a member of staff.

Evenings and Weekends

In case of an emergency

If you or your client require emergency assistance, please dial 999 for guidance and then contact Rowan Alba CARDS

Please note

The on-call number changes weekly (on a Friday at 5pm). If your visit is out with office hours, please check who is on call that day, should you need to speak to someone.

Case Note Guidance

We require volunteers to keep accurate records of their visits in order to provide the best possible service to the client and volunteer and as a method of ensuring good practice and team communication in line with GDPR regulations.

Guidelines:

  1. Notes should be taken after each visit and sent into CARDS before the next visit by email cards@rowanalba.org
  2. Volunteers should record the date of the visit, a summary of the visit, and the date of the next planned visit

Expenses

Whenever any money was spent during the meeting on refreshments such as drinks or a snack, or you’ve had to catch a bus or travel please make sure to take a photo of the receipt and send it to kiera.russell@rowanalba.org before the 5th or 18th of each month.

If from time to time you want to take the client to something more expensive (visit to the zoo etc), let us know and we can possibly cover the cost of tickets. Please make sure that the photos of the receipts are clear and include the location, date, time, and amount.

Support and Supervision

Group Support and Supervision

As a CARDS Volunteer you have agreed to attend at least two group supervision sessions a year as part of your role. The group supervision session for volunteers runs on the last Thursday or Wednesday evening of the month and tie in with different training themes to support your ongoing learning and development alongside your peers.

An email reminder is sent out each month with a link to the Eventbrite page where you can also register to attend.

One to One Support and Check In

You will also have a one-to-one support and check in session every 6 months with a designated staff member.
If it is urgent or you want to discuss something on the day just call, we will always be happy to hear from you 07715082428 and staff can provide additional one to ones on request.
